How we handle your enquiry
This notice explains how Private Pool Residences handles enquiries sent through our contact form, by email, or through the optional WhatsApp and Telegram links. It supplements the existing legal disclaimer below.
Your contact-form message is emailed to poolresidences@gmail.com and saved privately in our WordPress website. This lets us follow up even if email delivery fails. Sending an enquiry does not reserve the villa or subscribe you to a newsletter.

Information we collect
The contact form requires your name, email address, enquiry topic, message and confirmation that we may use these details to respond. Your telephone or WhatsApp number is optional. We also record the submission time, consent confirmation and email-delivery status. If you contact us directly, we receive the details and correspondence you choose to send.
Please provide only what is relevant to your question. Do not send passport copies, payment-card details or sensitive personal information through this contact form. Without the required fields, the form cannot be submitted; without a working reply address, we may be unable to answer.
Why we use the information
We use it to answer your questions, discuss a possible stay and keep track of the conversation. The form asks for your consent to respond. Where your enquiry asks us to take steps towards a reservation, processing may also be necessary for those requested pre-contractual steps. Basic validation, spam prevention and duplicate checks support our legitimate interest in protecting the form.
Email, website storage and service providers
The form saves a private copy in WordPress, accessible to authorised website administrators, before attempting email delivery. Notifications are sent through our Hostinger email service to our Google Gmail inbox. These providers process information to operate the hosting and email services. A saved website copy and an email copy are separate records.
Service providers may process information outside Thailand or your country of residence. More information is available in the Hostinger privacy policy and Google privacy policy.
How long information is kept
The relevant retention period depends on the time needed to resolve your enquiry and related follow-up, whether it becomes a reservation, and any applicable record-keeping duties or legal claims. There is currently no fixed automatic deletion schedule for contact enquiries. Deletion must be handled manually in both WordPress and the email mailbox; deleting one copy does not delete the other. Provider backups may remain subject to the provider’s own retention processes. You can contact us to ask about retention or request deletion.
WhatsApp and Telegram
These are optional external contact channels. Clicking their links or scanning their QR codes opens the relevant service. Information you send there, including your account details and messages, is handled within that service as well as by us when we respond. Please review the WhatsApp privacy policy or Telegram privacy policy before using them. You can use email or the website form instead.
Your choices and rights
Subject to applicable law and its conditions, you may request access, correction, deletion, restriction or portability of your data, object to certain processing, or withdraw consent. Withdrawal does not affect earlier lawful processing. Another lawful basis may require some records to be kept. You may also complain to Thailand’s Personal Data Protection Committee or another competent supervisory authority.
Send requests to poolresidences@gmail.com. We may need proportionate information to verify your identity before acting. Withdrawing permission to use your contact details may prevent further replies. Nothing in the legal disclaimer below limits your statutory data-protection rights.
